1 Overview

This Privacy Policy explains what personal information Momo Cloud ("we", "us", "our") collects when you visit cloud.momo.tz or use our hosting, domain, email, and cloud services (the "Services"), why we collect it, how we use and protect it, and the choices and rights you have. It applies to all visitors, account holders, and customers. Please read it alongside our Terms of Service.

2 Who We Are

Momo Cloud is a cloud and web-hosting provider based in Dar es Salaam, Tanzania, serving customers in Tanzania and internationally. For the personal data described in this policy, Momo Cloud is the data controller responsible for deciding how and why your data is processed. You can reach our privacy team using the details in Section 15.

3 Information We Collect

Account information

Your name, email address, phone number, billing address, and company name (if applicable), provided when you register or update your profile.

Payment information

We do not store raw card numbers. Payments are processed by licensed third-party gateways; we keep transaction references, amounts, and invoice records for accounting and compliance.

Domain registration data

WHOIS details required by registries — name, address, email, and phone — which may appear in public WHOIS unless you use WHOIS Privacy.

Support communications

The contents of tickets, emails, and chats you send us, including any attachments and the contact details you provide.

Usage & device data

IP address, browser and device type, referring pages, pages viewed, and session activity, collected automatically when you use our site.

Service & server logs

Access and error logs from your hosting environment (IP addresses, timestamps, requests) used for security, abuse prevention, and troubleshooting.

4 How We Collect It

  • Directly from you — when you register, place an order, contact support, or fill in a form.
  • Automatically — through cookies, server logs, and similar technologies as you use our site and Services.
  • From third parties — such as payment processors confirming a transaction, or domain registries returning registration status.

5 How We Use Your Data

We process your personal data to:

  • Create and manage your account and deliver the Services you purchase;
  • Process payments, issue invoices, and maintain financial records;
  • Send essential transactional messages such as invoices, renewal reminders, security alerts, and password resets;
  • Provide customer support and respond to your enquiries;
  • Monitor, secure, and improve our infrastructure and detect fraud or abuse;
  • Comply with our legal, tax, and regulatory obligations; and
  • Send service updates and, where you have opted in, marketing communications.

We rely on the lawful bases of contract performance, our legitimate interests in operating and securing the Services, your consent (for optional marketing), and compliance with legal obligations. We do not sell your personal data, and we do not use it for automated decisions that produce legal effects on you.

You can manage or disable non-essential cookies through your browser settings. Disabling essential cookies may prevent you from signing in or using parts of the client portal.

7 How We Share Information

We share personal data only as needed to run the Services or comply with the law, with:

  • Payment processors — licensed gateways that handle transactions under their own PCI-DSS and privacy obligations;
  • Domain registries & registrars — WHOIS-required data submitted to deliver and maintain your domains;
  • Infrastructure & service providers — data-centre, network, email-delivery, and security vendors who process data on our behalf under confidentiality agreements;
  • Authorities — where required by a valid court order, lawful request, or applicable Tanzanian legislation; and
  • Business transfers — a successor entity in the event of a merger, acquisition, or sale of assets, subject to this policy.

We do not share your personal data with advertisers or data brokers.

8 International Transfers

Some of our providers may process data outside Tanzania. Where personal data is transferred across borders, we take reasonable steps to ensure it is protected by appropriate safeguards and contractual commitments consistent with this policy and applicable law.

9 Data Retention

We keep account data for as long as your account is active and for up to 7 years after termination to meet tax and financial record-keeping obligations. Support communications are kept for up to 3 years, server access logs for up to 90 days, and backups are deleted within 30 days of account termination. When data is no longer needed, we securely delete or anonymise it. You may request earlier deletion, subject to the legal retention requirements above (see Section 11).

10 Data Security

We apply industry-standard technical and organisational measures to protect your data, including TLS encryption in transit, hashed password storage, role-based access controls, network firewalls, and routine security reviews. No system can be guaranteed 100% secure. If a breach occurs that is likely to pose a risk to your rights, we will notify affected users and the relevant authorities as required by applicable law.

11 Your Rights & Choices

Subject to applicable law, you have the right to:

  • Access — request a copy of the personal data we hold about you;
  • Rectify — correct inaccurate or incomplete data;
  • Erase — request deletion, subject to our legal retention obligations;
  • Restrict or object — limit or object to certain processing;
  • Portability — receive your data in a structured, machine-readable format; and
  • Withdraw consent — opt out of marketing or other consent-based processing at any time.

To exercise any of these rights, email privacy@cloud.momo.tz. We will verify your identity and respond within 30 days. There is no fee unless your request is manifestly unfounded or excessive.

12 Marketing Preferences

We send marketing emails only where you have opted in or where permitted by law for existing customers. Every marketing message includes an unsubscribe link, and you can update your preferences from the client portal at any time. Opting out of marketing does not stop essential transactional messages such as invoices and security notifications.

13 Children's Privacy

Our Services are intended for users aged 18 and over and are not directed at children. We do not knowingly collect personal data from minors. If you believe a minor has provided us with personal data, please contact us and we will delete it promptly.

14 Changes to This Policy

We may update this Privacy Policy from time to time. For material changes, we will notify you by email or a prominent notice on our website at least 14 days before they take effect. The "Last updated" date above reflects the most recent revision. Your continued use of the Services after the effective date indicates your acceptance of the updated policy.
